What should I do when a mentee misses our intro call?
If a mentee doesn't join your scheduled introductory call, wait at least 5–10 minutes past the start time before taking action. They may be running late or experiencing technical issues.
This guide applies to intro calls after you've accepted an application. For handling applications before acceptance, see I got booked for a session, what now?
Steps to handle a no-show
- Send a quick message — After waiting 5–10 minutes, message the mentee through the platform chat to check if they're still planning to join or need to reschedule.
- Wait for a response — Give them a reasonable window (24–48 hours) to reply. They may have had an emergency or forgotten to update their calendar.
-
Use "Decline & Archive" if no response — If they don't respond or can't commit to a new time, go to your dashboard, find their card in your pending intro calls, and click the red ✗ Decline & Archive button.
Provide context in the decline form:
- Step 1: Write a brief message to the mentee (e.g., "Unfortunately, we weren't able to connect for our intro call. Feel free to reapply if you'd like to try again.").
- Step 2: Select the reason that fits (e.g., "No-show" or "Never booked") and add any internal notes for your records.
Don't mark a no-show call as "Complete." Use Decline & Archive to keep your records accurate and notify the mentee properly.
What happens after declining
The mentee receives your message and the conversation is archived. This doesn't penalize you—it's the correct way to handle situations where the match isn't progressing.
If a mentee regularly books and cancels or no-shows, note this in your decline feedback. It helps MentorCruise monitor platform quality.
